We build tools that help people improve their habits and wellbeing (including a wellness score/assessment, templates, community features, and optional coach matching). This Privacy Policy explains what personal data we collect, how we use it, and the choices you have.
If you do not agree with this Privacy Policy, please do not use our services.
1) Who this policy applies to
This policy applies to:
Visitors to our website(s)
Users who complete our wellness score/assessment
People who join our waitlist/newsletter
Customers who buy templates/digital products
Users who request or engage in 1-on-1 coaching via TFM
Coaches/trainers who sign up to be listed or matched with users
2) Age requirement
TFM is intended for people 16 years and older. If you are under 16, please do not use the services or submit personal data. If local law requires a higher age or parental consent for certain services, we will apply those requirements.
3) What data we collect
We collect personal data in a few ways: directly from you (forms, purchases, messages), automatically (cookies/analytics), and sometimes from coaches or partners (where applicable).
A) Data you provide to us
Identity & contact
Name, email address, phone/WhatsApp number
Age/date of birth and gender
Wellness / lifestyle and health-related inputs (often treated as “sensitive” in many jurisdictions)
Height, weight
Activity habits (steps, strength sessions, mobility sessions, desk breaks, etc.)
Sleep habits (hours/consistency), stress rating, “rested” rating
Nutrition habits (protein days, fruit/veg days, water, alcohol days)
Injuries/medical conditions/medications (if you choose to provide them)
Progress photos (planned for a later feature)
Purchases
Purchase and subscription information (such as what you bought, dates, amounts, payment status)
We do not intend to store full payment card details on our systems. Payment processing is handled by third-party payment providers.
Communications
Form submissions, support emails, and chat logs
Testimonials/reviews you submit (which may include your name/photo if you choose)
Coach/trainer information
Profile details (bio, location, rates, availability)
Verification information such as certifications and (where required) ID documents, insurance, and background-check-related details
B) Data we collect automatically
Device and browser information
IP address and log data
Cookie identifiers and analytics/advertising identifiers
Approximate location (for example, inferred from IP) and related usage data
Google Analytics collects cookie/device data and on-site activity; GA4 states it does not log or store IP addresses. Google Help
4) What we use your data for
We use personal data to:
Provide the wellness score/assessment and deliver recommendations/results (including by email)
Personalise tools, templates, and user experience (for a period so we can better understand what helps you)
Send transactional communications (results, receipts, onboarding, account messages)
Send marketing communications (newsletter, product updates) where you opt in
Coach matching and introductions (and facilitating coaching services when you choose them)
Process payments, refunds, and prevent fraud (primarily via payment providers)
Improve and secure the service (analytics, debugging, A/B tests, and responding to issues)
Community moderation and safety (as community features roll out)
Legal compliance (tax, complaints, enforcing terms, responding to lawful requests)
5) Legal bases (GDPR-style, applied globally)
We aim to apply GDPR-level rights and principles globally.
We process your data under the following legal bases:
Consent:
Marketing emails (opt-in)
Wellness results emails and the processing of health-related inputs (where required/appropriate)
Cookies/pixels where a consent banner is used
Contract / steps to enter a contract: providing paid digital products, subscriptions, and requested services.
Legitimate interests: improving our service, preventing fraud/abuse, basic security, and understanding product performance (balanced against your rights).
Legal obligation: tax and accounting requirements, and responding to lawful requests.
You can withdraw consent at any time (for example, unsubscribe from marketing emails or adjust cookie preferences). Withdrawal does not affect processing that happened before withdrawal.
6) Cookies, analytics, and advertising pixels
We use cookies and similar technologies for:
Site functionality
Analytics (currently Google Analytics 4)
Advertising/remarketing (currently Meta, TikTok, Google Ads, LinkedIn)
We plan to use a cookie banner so you can accept/reject non-essential cookies.

7) Who we share data with
We do not sell personal data in the “data broker” sense. We share data only as needed to operate TFM, deliver what you request, and comply with law.
A) Service providers (processors)
Depending on your use of the service, we may share data with:
Website hosting/build: Framer. Framer’s sub-processor list includes Amazon Web Services (territory: United States). Framer+1
Email marketing and transactional emails: Brevo. Brevo states its hosting servers are located within the European Union (including OVH in France/Germany and Google Cloud in Belgium). Brevo Help Center
Automations: Zapier. Zapier states it hosts data in AWS servers located in the United States. Zapier
Data storage/spreadsheets: Google Sheets (Google). Google notes it maintains servers around the world and information may be processed outside your country. policies.google.com
Analytics and ads: Google Analytics 4 and the ad platforms listed above (as described in Section 6)
Payments: payment processors such as PayFast/Paystack/Stripe/PayPal (as implemented). These providers process payment details (including card details) directly.
B) Coaches/trainers (only when you choose coaching)
If you request coach matching or 1-on-1 coaching:
We may share your wellness assessment outputs relevant to your goals with the coach/trainer you are matched with.
Before sessions start, coaches do not receive your full contact details or identifying personal data unless needed to deliver the service (for example, scheduling or direct communication once you proceed).
Once you begin sessions, we may share additional details needed to provide coaching support.
C) Partners (future)
In future, we may share aggregated or de-identified insights (for example, broad demographics or trends) with partners (such as supplement/apparel brands) to improve offers and partnerships. If we ever intend to share identifiable personal data with partners for marketing or similar purposes, we will ask for clear consent first.
8) International data transfers
Because we operate globally and use global service providers, your data may be processed in countries other than where you live (for example the EU and the United States). Brevo Help Center+3policies.google.com+3Zapier+3
Where required, we rely on appropriate transfer safeguards (such as Standard Contractual Clauses) via our vendors’ data processing terms. Zapier publishes SCCs as referenced in its DPA. Zapier+1
9) Data retention
We keep personal data only as long as necessary for the purposes in this policy, unless a longer period is required by law.
Your stated retention approach:
Wellness quiz results: kept until you request deletion; we may anonymise or delete inactive user data after 12 months of inactivity.
Newsletter: kept until you unsubscribe.
Purchases/invoices: at least 3 years (and potentially longer if required by law or for audit/dispute handling).
Support messages: kept until resolved, and may be retained longer for quality/safety and recordkeeping.
Coach profile data: kept until the coach leaves and requests deletion (or we remove it).
10) Your rights and choices
You can request to:
Access/export your data
Correct your data
Delete your account and quiz history
Opt out of marketing at any time (unsubscribe link in emails)
Object to certain processing or request restriction (where applicable)

Identity verification: We may request reasonable verification before fulfilling certain requests (for example, confirming access to the email account on file) to protect you from fraud.
11) Security
We use reasonable organisational and technical measures to protect data, including restricted access to internal systems and limiting access to staff who need it for their role. We also rely on security measures provided by our vendors (hosting, email, automation, and storage providers). Framer describes redundancy across AWS availability zones for customer data storage. No method of transmission or storage is 100% secure, but we work to reduce risk and improve safeguards over time (including enabling 2FA on key accounts).
12) Automated processing (your wellness score)
Your wellness score, band label, and recommendations may be generated through automated processing (for example form → spreadsheet → email automation). This is used to provide insights and guidance, not to make high-stakes decisions (we do not deny service or set pricing based on your score).
13) Legal requests and disclosures
We may disclose personal data:
If required by law or valid legal process (for example law enforcement requests)
To protect rights, safety, and prevent fraud/abuse
In connection with a payment dispute or enforcing terms (where relevant)
14) Changes to this policy
We may update this Privacy Policy from time to time. If changes are material, we will take reasonable steps to notify you (for example via email or a notice on the website). The “Effective date” at the top shows when it was last updated.
